Job Description

Project Summary:

The Cooperative Development Foundation of Canada (CDF) has received a multi-year grant from Global Affairs Canada (GAC). The project, entitled “ 4R Nutrient Stewardship Program (4R –NSP)”, will be implemented in partnership with Fertilizer Canada alongside a representative of manufacturers, wholesale and retail distributers, The International Plant Nutrition Institute (IPNI) and the Ethio –Wetland and Natural Resource Associations, a local implementing partner. The goal of the project is to improve the socio-economic well-being and resilience of smallholder farmers, particularly women through improving agricultural productivity and sustainability. 4R-NSP will develop a value chain with a strong focus on gender equality and will advocate for the implementation of 4R principles by regulatory authorities and multi-lateral organizations (FAO).



Position Summary



Basically, the Office Assistant will attend to visitors and deal with inquiries on the phone and face to face. Supply information regarding CDF-Canada and the 4R-Nutrient Stewardship Project (4R-NSP) to the general public, clients and customers. The Assistant will perform a wide range of administrative support activities to augment the job of Finance and Administrative Officer and the entire country management towards the smooth and efficient operation of the country office and the 4R project.



Essential Job Functions




  • Answer telephone, screen and direct calls, provide information to callers

  • Receive and direct visitors and clients to correct destination

  • General clerical duties including photocopying, scan, fax and mailing

  • Resolve primary administrative problems and inquiries, requests for information and data

  • Prepare written responses to routine enquiries (where necessary)

  • Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors

  • Arrange and Support meeting proceedings and requests as per given schedules

  • Open, sort and distribute incoming correspondence

  • Ensure knowledge of staff movements in and out of organization

  • Maintain office supply inventories

  • Monitor visitor access and maintain security awareness

  • Manage office calendar (Schedules) within and with external bodies

  • Coordinate maintenance of office equipment

  • Maintain office cleanliness and hygiene

  • Preparedness to learn fast on the job with full recognition and respect for organizational rules and protocols as well as senior management is crucial for successful job delivery




Required Skills or Experience




  • Higher national diploma in relevant business administration category

  • Computer skills and knowledge of Microsoft package

  • Knowledge of operation of standard office equipment.

  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping

  • Knowledge of principles and practices of basic office management
