- Manage and oversee the administrative and operational functions of the company.
- Coordinate and process sales orders, ensuring accuracy and timely delivery to customers.
- Collaborate with the sales team to ensure seamless order processing, addressing any issues or discrepancies that arise.
- Maintain accurate records of sales orders, customer information, invoices, and payments in the company's database or CRM system.
- Coordinate with the logistics team to ensure efficient product shipment, tracking, and delivery to customers.
- Monitor inventory levels, coordinate with suppliers, and manage stock replenishment to meet customer demands.
- Prepare regular reports on sales activities, order fulfilment, inventory status, and operational performance for management review.
- Implement and improve administrative and operational processes to enhance efficiency, accuracy, and customer satisfaction.
- Assist with pricing and quotation activities, ensuring accuracy and alignment with company policies.
- Collaborate with finance and accounting departments to reconcile sales orders, invoices, and payments.
- Support the sales team in preparing sales presentations, marketing materials, and product documentation.
- Respond to customer inquiries regarding order status, shipment tracking, and other operational matters.
- Handle customer complaints and concerns, providing timely resolution and ensuring customer satisfaction.
- Collaborate with cross-functional teams, including sales, marketing, finance, and technical support, to streamline processes and improve overall company performance.
- Stay updated on industry trends, competitor activities, and market conditions related to laboratory equipment sales.
Required Skills or Experience
- Bachelor’s degree in business administration or a related field is preferred.
- Proven experience in administrative or operations management roles, preferably in a sales-driven environment or laboratory equipment industry.
- Strong understanding of sales operations, order processing, and inventory management.
- Excellent organizational and time management skills with the ability to multitask and prioritize tasks effectively.
- Proficiency in using CRM systems, databases, and other sales and inventory management software.
- Strong analytical skills with the ability to analyze sales and operational data and generate meaningful reports.
- Attention to detail and a commitment to accuracy in record-keeping and documentation.
- Excellent communication and interpersonal skills, with the ability to collaborate with cross-functional teams and build positive relationships.
- Problem-solving mind set with the ability to identify operational inefficiencies and propose solutions.
- Knowledge of logistics and supply chain management principles.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
