There is an opportunity to join the Corporate Affairs Division [Human Resource Department] as Assistant Human Resource Specialist



  • Job Type: CONTRACT

  • Reports to: Workforce Planning & Recruitment



 


KEY JOB RESPONSIBILITIES


 


Recruitment & Selection



  • Provide administrative support for recruitment & selection including following up approvals for Open Requisitions and Job descriptions, as well as preparing draft job advert and arranging interviews schedules.

  • Coordinate the signing of the interview evaluation result by panelist

  • Ensure potential candidate undergoes medical screening and criminal checks and reference letters, as required.

  • Liaise with L&D for smooth onboarding process for new employees.

  • Support travel arrangement for all foreign candidates invited for interview.

  • Coordinate relevant correspondence to all applicants.



HR Administrative Support



  • Inputs data for leave, medical reimbursement/bills from the hospitals and other general data in HRIS

  • Take minutes and actions points from all HR meetings

  • Support the creation and management of HR records, including employee records

  • Assist with the HR Data Cleansing of all HR Files

  • Maintain an up-to-date HR data for staff.



Third Party Contract Management and Lunch Provision



  • Provide draft quarterly reports on contracts to ensure adherence to contract terms and contracting plan

  • Coordinate lunch provision and related contracts across all locations

  • Prepare draft change orders and contract management plan

  • Provide support in the selection of potential vendors and evaluation of offers

  • Coordinate HES Inspection of food service providers premises facilities and issue of report

  • Input third party invoices in Maximo for payment processes

  • Monitor Contract Close Out deadlines and notify supervisor as appropriate



Employee Relations



  • Assist with the implementation and education of employees on all Human Resources related processes and policies.

  • Support the planning and coordination of UNION, ECF/JCC & Management Consultative meetings.

  • Assist with compilation of policy and procedure reviews & support employees on HR related queries.



Employee Health and Welfare



  • Assist with the implementation and education of employees on all Human Resources related processes and policies.

  • Support the planning and coordination of UNION, ECF/JCC & Management Consultative meetings

  • Assist with compilation of policy and procedure reviews.

  • Support employees on HR related queries





Required Skills or Experience



  • Degree in Human Resource Management / Business Administration / Psychology or related discipline

  • A minimum of three (3) years relevant experience in the human resources function or administration.

  • Professional Certificate in HR is an advantage.
