We are the country office of Amplio Network in the USA and have offices in Wa and Tamale. We specialize in the design and delivery of social and behavior change interventions for vulnerable populations in remote and hard-to-reach communities (The last mile). Our mission is to empower the world’s most vulnerable communities through knowledge sharing. We also partner with government, non-governmental, and civil society organizations to amplify the impact of their communication campaigns through the Amplio Talking Book digital solution. Through our social and behavior change programming, we have reached more than 1 million people in Ghana



 




Job Description



  • Reporting to: Finance and Admin. Manager



 



ABOUT THE POSITION


We seek a dynamic and competent individual to serve us as primary support to the Finance and Administrative Manager (FAM) to maintain sound financial accounting and management systems and practices for the prudent management of Amplio Ghana and donor funds. You would join a close-knit team that values learning, respect, responsibility, transparency, and partnership.


 


RESPONSIBILITIES


Administrative



  • Carry out the administrative functions of the Wa or Tamale office including supervision of the cleaner and overseeing logistical and travel arrangements for the smooth operation of the office.

  • Ensure Financial and operational management policies and procedures are strictly adhered to.

  • Ensure there is a standardized filing system and keep track of all admin documents including registration of all internal & external correspondence and records updated.

  • Manage office supplies including keeping accurate records and regularly checking stock levels to ensure timely replenishment. 

  • Monitor the utilization of office supplies to ensure there is no wastage. 

  • Maintain an updated filing system for all Amplio Ghana’s staff and correspondences. 

  • Communicate schedules for staff team meetings including the Monday morning meetings and compile/file minutes.

  • Ensure staff in the Wa/Tamale office adhere to the reporting and closing schedules for Amplio Ghana staff.

  • Facilitate the approval of staff leave and file all approved leave.

  • Maintain a logbook for all visitors coming to the Wa/Tamale office and facilitate their official engagements.

  • Participate in Amplio-level team meetings.

  • Monitor to ensure the office in Wa /Tamale is always kept tidy and clean.

  • Perform any other administrative task assigned by the supervisor.



Accounting/Finance:



  • Ensure all the financial transactions are authorized by the Country Director and processed with adequate supporting documentation.

  • Review and ensure expenses are per Amplio regulations (expenses are reasonable, allowable, and allocable).

  • Prepare error-free payment vouchers (PV) and cheques for all approved fund requests and issue signed cheques to staff/vendors and when necessary, make bank withdrawals on behalf of management.

  • Follow up with staff that have received funds to liquidate promptly/as per the financial manual schedule for liquidations.

  • Receive/review all staff liquidated funds to ensure supporting documents/expenditures are complete, accurate as well as consistent with the purpose for which the funds were requested and facilitate approval of the expensed funds by FAM and Country Director. 

  • Accurately and timely record transactions in QuickBooks.

  • Ensure all approved funds requests/payment vouchers and liquidations are timely filed (both electronically and hard copies).

  • Request monthly bank statements for all Amplio Ghana bank accounts and prepare monthly bank reconciliations in QuickBooks.

  • Prepare monthly BvA reports using the Excel template developed by FAM.

  • Assist in the preparation of staff salaries and facilitate the payment of salaries including statutory payments (SSNIT, GRA etc.) 

  • Manage petty cash and regularly check the minimum threshold level to ensure timely cash replenishment.

  • Ensure the safe is well secured always to ensure the items and cash are not at risk of theft.

  • Assist with the management of assets and inventory.

  • Perform any other finance/accounting task assigned by the supervisor.




Required Skills or Experience


Qualifications, Skills, and Experience



  • Minimum of HND in accounting, finance, business, or any other relevant field.

  • At least two (2) years post-national service experience in financial administration roles. 

  • Candidates with experience working in an NGO are an added advantage.

  • Demonstrated experience with using QuickBooks accounting software.

  • Ability to work using various Microsoft Office applications. 

  • High level of integrity and confidentiality. 

  • Excellent communication skills (spoken and written)

  • Excellent management and organizational skills.



COMPENSATION: Commensurate with experience.


 


HOURS AND LOCATION


This position will be based in Wa or Tamale with most of our team. Remote work may be possible if your working hours mostly overlap with Seattle working hours and allow for occasional calls with our partners in Africa and Asia.
