Job Description


The Administrator is responsible for delivering Administrative, procurement and Asset Management services to the Company.



Location: Abrewapon, Ashanti Region Ghana



Procurement




  • Responsible for planning and coordinating of procurement activities in relation to purchasing of tools, PPEs, Equipment’s for the company .

  • Examine goods procured to meet standards.

  • Coordinate with fuel suppliers to supply the company with fuel and prepare all necessary receipts and records for payment.

  • Develop a local supplier database for sourcing of items for the company.



Asset Management




  • Undertake regular updates and reconciliation of Fixed Assets

  • Ensure stock records are regularly updated.

  • Conduct and report on Monthly Stock Counts of stores.

  • Check the consignment of all incoming goods.

  • Keep copies of all goods received notes.

  • Manage the stores in coordination with the stores Assistant in terms of Monthly receiving, Recording, storage, issuing of goods and proper recording.

  • Ensure goods coming in are duly signed and goods received notes duly approved and filled.

  • Visits to the field to inspect tools and equipment to ensure they are being used properly and taken care off.



Administration




  • Manage employee files and documents with confidentiality.

  • Ensure that all the necessary documentation of new employees are properly filled to start the onboarding process.

  • Coordinate repairs and service of company vehicles and equipment and prepare all necessary receipts and documents for payment.

  • Maintain leave records for all employees.

  • Perform any other task assigned by the Finance Manager




Required Skills or Experience



Your Profile




  • Minimum of a Bachelors’ Degree  in Administration, Procurement  Management, CIPS  or a Business Related Degree

  • At least 3 to 5 years’ professional experience in the same or comparable position in Ghana.

  • Experience with dealing with GRA, SSNIT and Tier 2 Providers is a plus.

  • Familiar with Procurement best practices

  • Awareness of how to handle issues appropriately (confidentiality, data protection)
