It is a civil society institution meant to prevent, resolve, and transform violent conflicts through collective and coordinated efforts of NGOs, local and national state institutions as well as individuals actively engaged in peacebuilding practice in Ghana in order to avoid the duplication of efforts and maximize resources for more effective responses to conflict situations. The organization seeks to facilitate the creation of a sustainable culture of non-violence, justice, peace and social reconciliation in Ghanaian communities.




Job Description


Functions



The Executive Assistant position is a support role at management level.



Essential Functions of the Executive Assistant     




  • Lend administrative support to the National Network Coordinator: – Keep and manage his/her diary, draft letters, respond to correspondence, book and arrange travel, transport and accommodation, arrange meetings and set up appointments and other tasks that may be assigned by the National Network Coordinator or his/her assign

  • Prepare talking points for presentations and write reports

  • Conduct research including understanding programmatic issues, draft presentations and communications for the National Network Coordinator as required

  • Attend meetings with the NNC and take minutes/notes

  • Manage databases and filing systems

  • Assist with general administrative tasks

  • Create and maintain a filing system

  • Perform various executive and administrative support duties that are highly sensitive and confidential.

  • Assist with developing, reviewing and editing of documents

  • Prepare activity budgets in line with duties above

  • Work closely with finance team to retire advances related to executive functions

  • Perform other duties as may be assigned by supervisor




Required Skills or Experience



  • Must possess a minimum qualification of a first degree in Business Administration or Management, Development Management, Development or Social Communication, and other relevant fields of study from any accredited tertiary institution.

  • Must have finished National Service, and with at least one-year relevant experience

  • Demonstrate broad understanding of the peacebuilding, governance, and development programming.

  • Be able to type at not less than 30words per minute

  • Possess high speed and competency in note taking

  • Demonstrate excellent oral and written communication skills including drafting minutes and reports

  • Possess high competencies in the use of Internet resources, Microsoft Word, Microsoft Excel, and Power Point.
