JOB PURPOSE

The HR Assistant is expected to be a conceptual thinker with superb organizational and time management skills. He/ She must be reliable and should accurately follow instructions with the ability to multitask and acclimatize in a fast-paced environment. To ensure success, the HR Assistant must display remarkable conflict management and decision-making skills with a solid understanding of employee relationships, staffing management, payroll and benefits administration. He/ She shall be superb at problem-solving, efficient in scheduling and precise in the recruitment process.



The role reports to the Human Resource Manager. 

HR Assistants Responsibilities




  • Post job ads and organize resumes and job applications

  • Schedule job interviews and assist in interview process

  • Substantiate applicants’ skills by administering and scoring tests

  • Ensure police background and reference checks are completed

  • Prepare new employee files

  • Participate in administrative duties and office supplies disbursements. 

  • Orient new employees to the organization (setting up a designated log-in, workstation, email address, etc.)

  • Serve as a contact point person for all new employee questions

  • Provide payroll information by collecting time and attendance records and resolve any payroll errors

  • Submits employee data reports by assembling, preparing, and analyzing data

  • Maintain employee information by entering and updating employment and status-change data

  • Assist with performance management procedures

  • Schedule meetings, interviews, HR events and maintain agendas

  • Provide secretarial support by entering, formatting, and printing information

  • Coordinate training sessions and seminars with other team members. 

  • Maintain employee confidence and protects operations by keeping human resource information confidential

  • Produce and submit reports on general HR activity

  • Maintain quality service by following organization standards

  • Arrange residence permit and manage travel plans for expatriates (hotel/transport/visas/expenses)

  • Complete termination paperwork and exit interviews 

  • Keep up-to-date with the latest HR trends and best practice



 




Required Skills or Experience



  • BSc/BA in human resources, business administration or relevant field from a recognized University

  • Thorough knowledge of human resource management principles and best practices

  • Knowledge of data analysis and reporting

  • Outstanding communication and interpersonal skills

  • Diligent and firm with high ethical standards

  • A minimum of  3 years’  relevant work experience 

  • Ability to quickly adapt to change

  • Results Driven

  • Ability to think creatively and innovatively

  • Demonstrable ability to multi-task and adhere to deadlines
