Summary of Role



This is a supporting role that is aimed at augmenting the role of the Finance Manager in all aspects except SMT roles.   The support will be to help ensure effective implementation of projects.



Key Responsibilities




  • Maintain financial records and monitoring systems to record and reconcile expenditures, balances, payments, statements and other data for day-to-day transactions and reports

  • Prepare accurate, timely and relevant Disbursement Request Forms (DRF) for donor agency.

  • Ensure periodic income and expenditures are in line with donor requirement

  • Ensure periodic reports comply with Donor results-base reporting requirement and meet organization's financial standards

  • Submit monthly financial report to Finance Manager and management

  • Ensure there’s proper liquidation process of payment vouchers whenever activities are completed

  • Prepare vouchers and process invoices for payment.

  • Enter data from a wide variety of documents, verifying and ensuring accuracy by checking sources, making necessary calculations and assuring inclusion of all information.

  • File accounting related documents for easy retrieval.

  • Assist project team in preparing budget versus actual variance explanations report.

  • Assist in producing periodic financial reports in response to donor requirements, noting problems resulting from excess cost or less-than-expected receipts.

  • Maintain liaisons with officials of local banks on matters pertaining to maintenance of office bank accounts.

  • Perform other duties, as required.




Required Skills or Experience


Knowledge




  • Knowledge of generally accepted accounting, budgeting, and fiscal control principles

  • Good knowledge of Contract management, Administrative systems and practice, policies and procedures.



Experience




  • At least 3 to 5 years of relevant experience in administrative and financial management, including overseeing the finance and operations of large and complex projects.

  • Familiarity with FCDO/UKAID and USAID grant rules and regulations will be an added advantage.

  • Demonstrated experience and skills in developing and managing large budgets.

  • Experience in building capacity in financial management of community-based organizations and organizational partners.

  • Previous experience working with an INGO is an added advantage



Competencies




  • Demonstrated ability to create and maintain effective working relations with partners, community-based organizations and international donor agencies.

  • Experience working with International Donors (FCDO, UNICEF, USAID, etc)

  • Good budgeting and financial management skills

  • Demonstrated leadership qualities in financial management expertise

  • Strong interpersonal, writing and oral presentation skills in English.

  • Ability to work independently and manage a high-volume workflow.

  • Relevant skills in automated accounting software systems and database spreadsheets.

  • Relevant computer software skills and familiarity with accounting software (including, at a minimum, the standard applications in MS Office)

  • Ability to multitask and work within deadlines

  • Excellent interpersonal skills and experience establishing and maintaining good relationships with a wide variety of professionals and organizations.

  • Strong problem solving, analytical, operational, and coordinating abilities



Qualifications




  • A Bachelor’s Degree or higher in Accounting, Finance, Business Administration, or related field is required

  • A Master’s degree will be an added advantage
