JOB PURPOSE 

To assist in managing all procurement requirements in a given or group of product categories, comprising of all goods, services and works required from the relevant stakeholders, helping to set category strategy, interfacing with internal customers and suppliers to ensure best value for the company in line with its strategic, financial and operational requirements.


 



REPORTS TO: Head of Finance


 


KEY RESPONSIBILITIES



  • Assist with Category planning, analysis and management with experience of category and procurement. 

  • Managing and optimizing supplier performance, and reduction in total cost of ownership. Negotiations, planning and execution with suppliers on costs, commercial and contractual terms.

  • Assisting in definition of supply strategy for relevant product categories to ensure risks are mitigated and SSGL vision is achieved.

  • Initiate planning procurement activities together with the Senior Management.

  • Provides strategic analysis to assist in category strategy definition and a planned high value result for SSGL.

  • Provides emerging market research to source for alternate supply sources.

  • Interface with internal user departments, including senior management, and suppliers on procurement projects.

  • Assisting in setting and achieving of Category KPIs to strive to targets and provide competitive advantage for SSGL.

  • Review and analyse all vendors/suppliers, supply, and price options

  • Ensure that the products and supplies are of high quality meeting ISO 14,000

  • Maintain and update list of suppliers and their qualifications, delivery times, and potential future development

  • Monitor, evaluate and issue monthly reports on all procurement activities to the finance Manager/ Management 

  •  Provide a strategic, efficient and flexible procurement service which will deliver optimum value for money, cost savings and best quality of service 

  • Assist SSGL in managing commercial and reputational risks in its relations with external suppliers.

  • Ensure purchases are properly approved in terms of SSGL’s published authority levels and purchases are raised using the electronic purchase-to-pay system

  • Communicating opportunities to achieve better value for money through better procurement practices 

  • Develop contract terms for procurement for the organization 

  • Plan and identify potential suppliers of services and products for the organization

  • Do periodic appraisal of contractors and suppliers and report to management as such

  • Monitor, review and maintain performance management with suppliers and contractors.

  • Provide date and assist departmental heads in preparing procurement budgets for the year. 

  • Perform other department duties related to his/her position as directed by Line Manager and Head of Department.


Additional Accountabilities 


Provide regular status updates to internal user departments and suppliers on procurement projects.



Required Skills or Experience




  1. HND plus 3 years post service /B.Tech/BSc/BA from a recognised institution.

  2. An advanced Diploma in CIPS/CILTS would be an advantage.

  3. Solid knowledge and understanding of procurement processes, policy and systems

  4. Five (5) years previous experience in procurement or related position

  5. Accurate and precise attention to detail


Essential




  1. Excellent verbal and written communication skills.

  2. Working knowledge of Microsoft Office Suite - proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)

  3. Negotiations skills.

  4. Numeracy and the ability to present data clearly and accurately.

  5. Contractual and Financial acumen -Some good knowledge of accounting principles would be appreciated 

  6. Planning, Problem Solving and Decision Making abilities.

  7. Demonstrative initiative and autonomy.
