Job Summary



The overall responsibility is to ensure that our group guests have the highest quality conference experience possible while maintaining a profitable department that is environmentally responsible. The position’s primary responsibilities are the accurate and timely execution of room sets, and room refreshes for our conference guests. The position’s secondary responsibilities are to assist the banquet service team in excellent food and beverage service to our group guests.



Job responsibilities




  • Ensure accurate and timely room sets according to published Banquet Event Orders.

  • Facilitate all aspects of meeting or conference planning from site selection, vendor negotiation, event registration, marketing and post-event reporting

  • Work on multiple meetings, large-scale conferences and events simultaneously

  • Create and deploy event marketing communications via email, web, print

  • Send and track correspondence with speakers and vendors

  • Oversee conference or meeting schedule logistics

  • Work directly with registrants on problems and inquiries

  • Develop and maintain solid relationship with exhibitors /sponsors

  • Oversee meeting preparation, supplies ordering and packing of event materials

  • Perform data entry and daily administrative functions

  • Create invoices and receipts as requested; track expenses for event budget reconciliation

  • Create and analyse online evaluations prepare post event reports

  • Facilitate all post event invoicing and ensure payments have been made and received in partnership with Accounts payable & receivable




Required Skills or Experience




  • Must be able to read, write, speak and comprehend English fluently

  • Minimum of Bachelor’s degree in marketing with a certification in conferencing and event management required.

  • Must have a minimum of 3-4 years’ experience in banquets and conference services preferred.

  • 2-3 years’ managerial experience required.

  • Must have good interpersonal skills

  • Must be able to work on weekends, holidays and evenings.
