We are currently looking for dynamic and passionate people to fill the following position, based at the Kwame Nkrumah University of Science and Technology (KNUST) campus in Kumasi, Ghana: Finance Manager


 



Job Summary

The Finance Manager is responsible for providing financial support to the AFREhealth Secretariat and related programs to ensure the smooth running of the office in Ghana. This includes handling day to day financial operations of the Secretariat office, with particular emphasis on handling accounts payable and receivable, expense reports, cash handling, payments and compliance with the accounting principles as per AFREhealth and donor financial policies. Implements and maintains an on-site financial records as required to assure the integrity and effective performance of AFREhealth’s financial operations. 



Reports directly to: Executive Director or as assigned by AFREhealth



Duties and Responsibilities




  • Examines financial documents such as invoices, vouchers, expense reports and other documents such as purchase orders to ensure the completeness, accuracy, reasonability and validity of financial records 

  • With accounting firm, maintains, monitors, and disburses funds from the project bank account(s) accordance with AFREhealth’s financial policies and procedures as outlined in the AFREhealth Finance and Accounting policies manual and any other policies i.e. donors.

  • Ensures that accounting documents are filed on a timely basis, proper accounting records are maintained and compatible with standard accounting practice, AFREhealth and donor guidelines.

  • Monitors and reconciles supplier statements on regular basis and ensures timely settlement of bills.

  • Collects and disburses cash and ensures that it is stored in a secure location.

  • Ensures the maintenance of a cash register to ensure that there is a proper audit trail of all cash transactions within the organization.

  • Prepares monthly bank reconciliation with accounting firm.

  • Monitors and reconciles travel expenses and project expenses to individual advances on a regular basis.

  • Ensures that all unspent advances are providing to accounting firm or deposited to the bank with 48 hours after receipt.

  • Codes, tracks, and processes vendor invoices, consultant invoices and travel advances for payments on a timely basis.

  • Posts entries into the accounting system on a daily basis.

  • Prepares monthly financial reports, accruals and projections, and any other financial reports.

  • Updates various monitoring tools like the purchase order log, motor vehicle log, airfare and airport transfers logs etc. as needed.

  • Develops annual budgets for program activities and office costs.

  • Assists Executive Director or Senior Program Manager to develop annual operational budgets for programs; review these budgets for accuracy, reasonability, completeness and donor compliance.

  • With accounting firm, prepares VAT exemption forms for government and maintain all records relating to VAT exemption applications to donors, refundable VAT from suppliers, etc. on a regular basis.

  • Provides financial guidance/feedback to all staff to ensure the sound functioning of the Secretariat office.

  • Performs other duties as assigned.





Required Skills or Experience




  • Undergraduate degree in Accounting, Finance, or related field

  • Having achieved at least Level 2  toward the ACCA or ICA qualification 

  • Master’s degree in business or related field an added advantage

  • Minimum of six (6) years relevant experience in finance or accounting and at least three (3) years in a managerial position. 

  • Knowledge of US Government and other donor grant regulations.

  • Previous experience with nonprofit organizations.


Knowledge: (functional or technical); i.e. US federal legislations, finance, program planning, public healthcare standards, proposal writing, human resources practices, etc.)



  • An understanding of maintenance of ledger entries, books keeping skills and bank reconciliation. 

  • Computers skills including use of spreadsheets and/or accounting packages

  • Knowledge of Generally Accepted Accounting Principles, GAAP.

  • Knowledge of internal controls


Abilities/Skills, i.e., negotiate, manage, exercise independent judgment, act as technical advisor network, train etc.)




  • Financial and computer skills – working knowledge of database applications, word processing and Excel, as well as experience with accounting software 

  • Excellent organizational skills, detail-oriented and high degree of accuracy; 

  • Strong analytical skills and sound judgment. 

  • Excellent interpersonal skills to effectively interact with all levels of staff and partners.

  • Good oral and written communication skills to effectively communicate findings and analyses 

  • Be cooperative, hardworking, flexible & dependable.

  • Pleasant, warm and outgoing personality.

  • Be of high integrity and have a sense of confidentiality

  • Be willing to take on extra responsibilities in order to achieve the goals/objectives set by the organization

  • Capability to develop and implement effective strategies and tactics for accomplishing assigned duties 

  • Ability to work independently and as a member of a team. 

  • Be self-motivated, proactive and have a positive attitude to work requiring minimum supervision.
